Salaried, Non-Exempt REPORTS TO:
Executive Director and CFO
Responsibilities:
Will manage all aspects as required and requested for the business office:
Billing and Accounts Receivable:
Maintain rent roll on an ongoing basis; audit monthly with ED for accuracy prior to monthly billing; Post all ancillary and recurring charges incurred by residents timely and accurate; Generate and mail/deliver monthly statements; Ensure payments are received and processed; Prepare deposits and take them to or transmit them to the bank on schedule; Manage miscellaneous receivables; collect Service Center deposits daily and audit for accuracy; Manage collections; Post all move-in and waitlist deposits and reconcile; Process all move-ins and move-outs in ALIS; Maintain accurate ageing schedule; Set up initial resident record in ALIS for accurate billing; update changes as necessary; Provide a summary of outstanding receivables to ED as needed.
Accounts Payable:
Process all requests for credit data from vendors; Maintain timely payment of vendors; Review payables with ED prior to check run; Process in-house check requests; Process petty cash requests; reconcile petty cash; Process all approved requests for refunds timely for move-outs or refundable waitlist deposits; Reconcile vendor invoices and statements and report discrepancies; monitor vendor invoices for accuracy/duplication/discrepancies and resolve; Maintain vendor files for contracts, invoices and statements; Input invoices and review them prior to month-end financial report processing; Know recurring monthly bills and monitor for a receipt; Know amounts for recurring expenses and communicate any increase or changes in charges; research and resolve discrepancies; Review accounts payable aging continuously and resolve any outstanding issues.
Miscellaneous Responsibilities Maintain inventory of postage; maintain postal meter; Maintain inventory of mailing supplies for FedEx, etc.
; Facilitate backup for HR department; be or become familiar with ADP payroll system and payroll processing; understand community personnel policies, labor law, health insurance, workman's comp insurance, etc.
Have a working knowledge of the regulatory environment from a financial aspect and be able to complete requirements; Maintain vendor liability certificates and workers comp coverage or letter of waiver and renew annually; Have the ability to implement new systems, processes, and controls; Assist in creating new forms, etc.
Reconcile bank accounts on a monthly basis.
Resident Records:
Maintain resident files for new, current, and past residents as required per State rules and regulations for licensing; Process appropriate paperwork as needed due to level of care changes with accompanying charges/credits.
Reporting/Database Management:
Review all coded entries prior to generation of monthly close for financial statement preparation by CFO; Maintain databases are required, i.
e.
meal counts, TB renewals, tenant length of stay, list of vendor contracts and renewals; vendor COIs and renewals, etc.
Maintain files of active vendor contracts and contract expiration dates; audit for timely renewal; prepare a list for ED timely for any contracts up for renewal; Generate year-end 1099 forms; Work with CFO as requested.
All other duties as assigned.
Qualifications:
Knowledge of Excel and Microsoft Office; Ability to navigate QuickBooks accounting system; Accounting or bookkeeping experience; Personnel management experience; Database management experience; Highly organized and accurate; able to process a high volume of paperwork; Ability to work with and sort details; Able to multitask effectively; Willing to take initiative and accept challenges; Solution-oriented; Team player with a positive attitude and willingness to help others; Excellent customer service skills; Ability to communicate information in a timely, accurate, and effective manner.
